We have an exciting full-time opportunity for a tech savvy Executive Assistant based in Glen Waverley. Responsible for providing a full range of executive support to the Head of Fundraising, the role requires a high level of confidentiality, professionalism and stakeholder engagement.

ABOUT THE ROLE

The role is pivotal to productive time management of the Head of Fundraising and would be best suited to a proactive, intuitive Personal Assistant / Executive Assistant who operates with urgency, efficiency and decisiveness.

Working within a high functioning team, the key focus includes:

Coordinating diary management and systematically handling emails and correspondence;Liaising and coordinating with internal and external stakeholders regarding requests and matters for action, referral or response;Developing a range of reports, documents, presentations, agendas and minute taking;Arranging events, conferences, meetings and catering;Ensuring sound document control and record management of key information is maintained via filing and retrieval systems;Managing administrative processes for the Department such as expenses, booking travel/accommodation and submitting IT and facilities requests;Operating in an organised and expeditious manner within compressed deadlines.

ABOUT YOU

To be successful in this role, you will have demonstrated equivalent experience, knowledge and skills as a PA or EA (mandatory), and an ability to stay one step ahead of the workflow. While not essential, a background with a Sales department would be favourable.

Key capabilities include:

Proven professional experience supporting senior leadership roles in a fast-paced environment;Business qualification such as Certificate IV or Diploma in Business Administration desirable;Excellent interpersonal communication skills, with the ability to build and maintain positive stakeholder relationships;Technically capable with advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook and PowerPoint) and cloud-based services (OneDrive, Teams and SharePoint). Trello, TryBooking, CRM, and Adobe Suite an advantage;Excellent time management and ability to work on numerous tasks with multiple stakeholders simultaneously;Ability to work decisively under pressure with a sense of urgency;Strong attention to detail;Ability to work autonomously
