RoleGlen Waverley Secondary College is seeking a Music office administrator who will work under the direction of the Director of Music to provide sound administration and customer service to all members of the Music Department and School Community.The role involves liaising with teachers, students, parents, other administrative staff and College leadership.Strong organisational skills are pivotal in this role, as you will provide administrative services to a broad range of individuals within the Music department.Desired Skills · Ability to enter and manipulate data within Microsoft excel, word (including mail merge functions) and the google suite particularly google sheets. Ability to learn the school management system, Compass. · Professional and well presented, with good telephone manner. · Proven ability to work both co-operatively with others and also to take initiative in completing tasks independently. · Excellent communication with proven ability and grammatical accuracy in written and verbal communications. · Comfortable with the use of interactive technologies, web and electronic media. Examples include TryBooking and Canva. · Flexibility to meet conflicting demands, manage multiple tasks and prioritise workload. · Proven ability to maintain confidentiality and discretion and deal calmly in all situations. · Previous experience in a similar role in the education sector would be considered advantageous.ResponsibilitiesYour duties as a Music Office Administrator may include, but are not limited to: · Maintaining a database of music student enrolments. · Assisting with instrumental music timetables and teacher support. · Music ordering and processing orders through finance. · Maintenance requests. · Managing purchasing of educational resources, maintaining stock levels for everyday products. · Registering students for AMEB exams and communicating information to relevant parties. · Assisting the Director of Music with event management and organisation including camps, concert programs, logistical arrangements, advertising, communication with parents, and scheduling. · Facilitating room bookings and changes. · Engaging and liaising with external contractors as needed. · Providing technical and logistical support to instrumental staff. · Supplying financial details to other departments for lesson fees, instrument hire fees and excursion costs. · Following up on account queries with parents or suppliers. · General administrative support for the music program and other administrative duties as directed including assisting the Director of Music when required.Details2 days per week or by negotiation over part days (eg 4 mornings)Who May Apply Individuals with the aptitude, experience and/or qualifications to fulfill the specific requirements of the position.
